Administration Coordinator Willmott Dixon are looking to recruit a highly organised Administration Coordinator to join our Wales and West regional team and work from our office based in Cardiff. The successful candidate will be responsible for providing administrative support to the Preconstruction and Customer Services team. The role requires a proactive and efficient individual who can handle a variety of tasks with a high degree of accuracy and professionalism. This is a hybrid opportunity and the successful candidate will be based 3 days in the Cardiff office and 2 days from home. Duties and Responsibilities Reporting to our Estimating Manager, the key responsibilities are split between the Customer Service and Preconstruction team. They are as follows: Preconstruction Team (3 days per week) * Providing administrative support to various departments within the business. * Log new jobs onto Preconstruction Tracker and subsequently update the system following receipt of quotes from Supply Chain Partners. * Liaise with Supply Chain Partners to obtain commitment to price key packages and issue project status updates. * Chase quotes from Supply Chain Partners and save them to common data environment. * Collaborate with internal departments to ensure all Supply Chain Partner details and statuses are kept up to date. Customer Service Team (2 days per week) * Ensure that all emergent defects received are acknowledged, logged onto the system and then ensure all subcontractors attend within the client required time frame. * Review the status of all "open" tasks weekly. * Coordinate service engineers diary, including forward planning of all materials, access and equipment required. * Effectively manage all complaints in line with customer service procedures. * Assist in collecting information and format into completed end of project Health & Safety files as required. * Ensure compliance with all customer service procedures. * Provide a professional administration service to the Customer Service Manager and produce accurate, well-presented documentation within the time scales required for internal meetings and customers. Essential and Desirable Criteria The ideal candidate * Proven experience as an administrator. * Proficient in Microsoft Office Suite for the collation of data (intermediate excel experience). * Strong organisation and multitasking skills. * Excellent written and verbal communication skills. * Ability to work independently and part of a team. * Ability to multi-task and organise both operatives and trades people. * Effective liaison with clients, end users, the supply chain and internal teams. * Good level of education including Maths & English (both written and spoken). Working Hours: 37.5 hours per week from Monday-Friday.
