Our Newcastle Office is currently recruiting for an Project Coordinator to join our EMEA MBD Operations team, which is an integral part of the wider MBD function across Europe, the Middle East and Asia (EMEA), providing high quality support across the EMEA MBD team?s many key projects. The Role You will report into the MBD Operations team project manager, and work closely with the Head of MBD Operations, MBD leadership team, subject matter experts, as well as other business services teams to support in the development, effective co-ordination and execution of plans to improve operational effectiveness and help the MBD function enhance the value it delivers to the business. This role is central to many of the firms key processes. Key Responsibilities Your key focus will be to provide support to the EMEA MBD Operations team with the implementation, coordination and delivery of the EMEA MBD team?s key projects. You will be responsible for supporting on multiple projects of various size and complexity. To be successful in this role, you will have excellent organisational and planning skills, be comfortable working to deadlines and ensure a high level of stakeholder satisfaction. Efficient and clear communication skills are key. You will be required to support with the production and maintenance of all project documents and will be responsible for coordinating project/progress meetings, the collation of meeting material, detail/action recording and assisting with the production of regular progress reports to management. The change management and process improvement projects are not limited to, but are likely to include the following: Business planning, tracking and best practice Content management to ensure a single point of truth for key collateral Client reporting requirements Bid and experience systems, processes, evaluation Legal directory and league tables submissions Internal reporting requirements How we collate, maintain, manage, repurpose and use our experience against our marketing collateral is a key area: This person would be the SME and key contact for all Experience Management and league table queries, training, ensuring an efficient and effective matter collection end to end process is implemented and communicated with minimal impact on fee earner and MBD time They would focus on data management, process efficiencies, driving buy-in and change, communication, integration with other tools, develop and implement a central tracker, reporting and further developing and future-proofing the tool Working with all teams and touchpoints within the process to ensure that we are maximising the potential of the EM tool and allowing MBD and fee earners to focus on MBD and fee earning work Experience collection: Manage the experience collection process and increase engagement across EMEA Work with individual practice groups, as necessary, to develop a process applicable to their team as needed Work with PSEs to ensure good matter description collation Work with finance and BD teams to ensure they receive the required matter reports Work with fee earners on experience description production Maintain the central tracker Liaise with BD on tagging our experience to ensure it can be easily found Liaise with EMS on uploading our experience to the system Lead the monthly experience collection process across all practice areas Regular monthly reporting on project success and experience data - analysing experience collected for distribution to various internal stakeholders, including senior management Develop and maintain best practice guidelines and templates Liaise with EMS to backfill directory submission content into Experience Management League tables: Lead all league table deal collection, tracking and submissions quarterly Manage the firm?s day-to-day relationship with league table publishers Track results when they are announced and prepare internal communications to announce results Prepare analysis reports and present findings to the Corporate/M&A legal team quarterly Marketing and business development operations team support: Provide back-up support to members of the marketing and business development operations team when required Provide assistance on additional team projects Key Skills and Experience Experience of working in a fast paced professional environment preferred Excellent oral and written communication skills High level of attention to detail and problem solver Strong client focus and ability to demonstrate commitment to outstanding service delivery Strong organisational and time management skills, with the ability to work either autonomously, cooperatively or with direction, to ensure deadlines are met Proven planning skills and the ability to manage own workload and prioritise workloads effectively Ability to adapt to changing work environments Commitment to continuous improvement in work processes; ability to identify areas in need of improvement and suggest new methods where appropriate Strong stakeholder management skills and interpersonal skills and ability to deal with people at all levels Flexible approach to working hours and tasks assigned Excellent personal presentation, articulate and professional Positive, committed and prepared to use initiative and learn Sound working knowledge of MS Office products #LI-JC1 Diversity, Equity and Inclusion To attract the best pe
